To activate the collection of tourist taxes for your property, you must first configure the parameters of the tourist tax calculator.
If you have not done so yet, we provide you with a direct link to the article where we explain the step by step:
Once the calculator is activated, from the web control panel of your Check-in Scan account, go to the “Properties” section and click on the “Edit” button for the corresponding property.
In the “finance” tab, select the “Tourist taxes” option to activate the tourist tax calculator.
Once the calculator is activated, you can choose how the tourist tax will be calculated:
Based on the autonomous community
Based on the province
Customized according to the season
Additionally, the calculator allows you to apply extra criteria to adapt to different situations.
For example, you can:
Set an age exemption, so that minors do not have to pay the tax.
Indicate that guests are exempt after a certain number of nights.
Apply an automatic discount on the tax from a minimum stay.
We also offer, as an additional feature, a simulator for calculating the tourist tax.
This calculator allows you to simulate check-in and check-out dates, as well as the number of guests by specifying their age. Once you have entered this information, you can click "Save and calculate", and the estimated total amount for that example will be displayed.
How to activate tourist tax payments
To activate tourist tax payments during check-in, enable the buttons “Show amount on check-in” and “Enable Stripe payments”.
Click “Connect with Stripe”.
Stripe is the platform we use to manage online payments. By connecting your Check-in Scan account with Stripe, you will be able to automatically manage the taxes payment using credit or debit cards, without having to do it manually.
You will then be redirected to the Stripe page. There you must enter the email address you want to use to create the account and click “send”.
If you already have a Stripe account, enter the same email address you used when creating it.
If you do not yet have a Stripe account, please refer to the following article where the process of creating one is explained step by step:
Once you have created the Stripe account or connected an existing one, return to Check-in Scan.
You will then see the “Open payment dashboard via Stripe” button highlighted in green. By clicking it, you will be able to review your transactions.
Below this section you will find several configuration options where you can define who assumes the payment processing fees and which payment methods you want to enable.
You can choose between: payment only through the app by card, payment at the accommodation, or allowing the guest to choose the option they prefer
Once you have finished the configuration, click “Save tax”.
Each time you modify the tax amount, if there are pending reservations a notification will appear asking whether you want to apply the changes to those reservations as well.
At the bottom of the screen you will be able to view the record of payments and completed transactions.
How guests pay the tourist taxes
Guests will be able to view and pay the tourist taxes directly from the registration link. Payment will be enabled once the guest has completed the check-in.
When they click “pay”, they will see the price information and the payment options you have configured (pay now or pay at the accommodation).
If they select “pay now” and continue, a message will appear informing them that once the taxes have been paid, additional guests cannot be added to the reservation.
The guest will then need to enter their email address.
They will receive a verification email with a code that they must enter to continue the process.
Once the email has been verified, they will be redirected to the Stripe payment gateway.
In the payment gateway, the guest can enter their card details. Once the information is completed, they must click “Pay”.
A message will appear indicating that if they cancel the process, they will need to enter their email address again.
In the payment gateway, the guest can enter the details of the card they wish to use for the payment. Once the information is completed, they must click “Pay”.
If the card details are correct, a payment confirmation will be displayed indicating that the tourist tax payment has been successfully processed.
If you click on "Back to booking", you will be able to view the status of the tourist tax, which will appear as paid.
You can download an Excel file with the record of paid tourist taxes directly from your Check-in Scan account.
To do this, go to the "Check-ins" section and click "Export tax". An Excel file will be downloaded containing the list and breakdown of the tourist taxes paid for your reservations.
