Contracts linked to your property

With this feature, you can configure contracts for your guests to sign digitally after completing the online check-in.

How to configure contracts per property

Access the web control panel of your Check-in Scan account to begin the configuration process.

Once inside, go to Properties > Edit for the property where you want to add a contract.

Once there, click on Tools > Contracts.

Then, enable the feature by clicking on Activate / Deactivate contracts.

When doing so, a legal notice will appear. Please read it carefully, tick the checkbox, and click on Continue.

After this, you will need to select and enable the language in which you want to configure the contract clauses by clicking on the corresponding flag. You may enable as many languages as you wish.

Once enabled, you can start customizing the contract by activating or deactivating the information you want to display and filling in the required fields.

Among the available options, we would like to highlight the following:

  • Send a copy of the signed contract to the guest’s email:
    The contract will be automatically sent to the email address entered during the check-in process.

  • Total reservation price:
    This field will be automatically completed using the information associated with the reservation. You may enter it manually when creating a reservation or, if you have a PMS integration, it will be auto-filled whenever this information is provided by the external system.

Once this first part of the configuration is completed, you can continue further down to draft the clauses you wish to include in the contract.

The editor includes several formatting tools that will allow you to customize the contract content, such as bold, underline, text size, alignment, and other editing options.

In the Contract signature section, you can choose whether the signature should appear only at the end of the contract or on every page.

Additionally, you can upload your signature as an image or draw it directly in the enabled field.

Once you have finished the configuration, you will be able to save the changes and download a sample contract to preview how your guests will see the document. The downloaded file will be a test version identical to the one guests will sign during the check-in process.

When everything is configured as desired, simply click on the Save button.

If you wish to offer the contract in different languages, select the corresponding language at the top, click on Enable language, and repeat the configuration process by entering the clauses in the appropriate language. Remember to save the changes for each configured language.

How do your guests sign the contract?

Once guests complete the check-in process, they will be given the option to access and sign the contract.

They must click on Sign to access the contract preview.

From this screen, they will be able to select the language in which they wish to read the contract (provided you previously configured more than one language).

They will also have the option to enlarge the document to view it in full screen. The signature is completed by drawing it in the designated signature field.

How to download signed contracts

To download signed contracts, go to the Check-ins section and locate the check-in whose contract you want to download.

Click on Action > Download contract. The PDF file will then be downloaded to your device.

This feature is not included in the Essential plan.
To use it, you must have a higher-tier plan that includes these advanced functionalities.
