5. How to perform the new check-in with SES Hospedajes?

Once your property is connected to SES Hospedajes, in accordance with RD 933/2021, the required information for guests is expanded. The changes are outlined below:

  • Obligation to register all guests, including minors under 14 years old. If a minor under 14 does not have an identity document, you can select the option 'Minor without documentation.'

  • Place of residence for all guests.

  • Family relationship. SES requires marking the family relationship between guests.

  • Total number of travelers. This information will be automatically generated based on the number of guests in the reservation.

  • Signature of all guests. For minors under 14 without an identity document, the legal guardian must sign on their behalf.

  • Identity document support number. This is collected automatically.

  • Email or mobile phone number for all guests. This must be provided manually.

In addition, SES Hospedajes requires that each check-in be associated with a contract containing the following information:

  • Reference: You can indicate the booking reference, the ID of the main guest, or any unique reference for the reservation in question.

  • Contract or reservation date: The date the contract was formalized or the booking was made.

  • Payment type: You can select from the dropdown menu: cash, credit card, payment platform, transfer, others.

Our platform is already adapted to request these new fields during check-in (both guest details and contract-related information).

It's important to note that check-ins will be sent to SES starting at 11 PM on the day of arrival.

To avoid any confusion, we’ve attached some examples of check-ins with these new changes based on the type of check-in you typically use.

1. Pre check-in online

If you send the pre check-in link to your guests, either automatically or manually, for them to complete the check-in online, we have attached the screens your guests will see when completing the 'new' check-in:

1. Once the guest opens the link, the usual 4 screens with the basic tutorial for completing the check-in will appear:

2. According to RD 933/2021, each check-in must be associated with a contract containing the following information:

  • Contract reference: You can indicate the booking reference, the ID of the main guest, or any unique reference for the reservation in question.

  • Contract date: The date the contract was formalized or the booking was made.

  • Payment type: You can select from the dropdown menu: cash, credit card, payment platform, transfer, others.

NOTE: At the moment, it is not possible to import this information from your PMS or booking engine. However, we are pleased to inform you that we are continuing to work closely with our partners to enable synchronization of this data.

3. It's time to scan the identity document:

4. Our app will automatically read the scanned document and fill in the form with as much information as possible. However, the new Royal Decree requires information that does not appear on the identity document, so any empty fields will need to be filled in manually. After signing, click Next.

5. On the next screen, a summary of the guests registered so far with that booking link will appear. New guests can be added by accessing the same link (even from another device) or by adding them from this same screen. Once all guests are registered, click on Finalize this Check-in.

6. Finally, a confirmation is requested to complete the check-in.

2. Check-in with QR or generic link

If you use the generic link for your property or have printed the QR code for your guests to register upon arrival, rest assured that it will not be necessary to generate a new generic link or a new QR code. The check-in process your guests will need to follow is as follows:

  1. Once the guest has scanned the QR code or opened the generic link, the name of the property they are checking into will appear, along with a screen where they will input their check-in and check-out dates:

7. Finally, due to the new requirements of RD 933/2021, all check-ins must be associated with a reservation. In these cases, if your guests are registered using a QR code or generic link, a screen will appear displaying an internal reservation code from Check-in Scan to ensure the data is sent correctly. This code does not need to match other reservation references from platforms such as Booking or Airbnb.
