1. How to Register a Tourist Establishment with the Ministry of the Interior using SES Hospedajes

The first step is to register your property in SES Hospedajes. To do this, you will need a Digital Certificate, electronic DNI (DNIe), or be registered in the Cl@ve system.

  • Who needs to register with SES?

The responsibility for registering on the platform lies with whoever manages the properties (not necessarily the owner).

  • If the property is directly managed by the owner, then the owner must handle the registration and request the codes from SES.

  • If a property manager oversees the rental without being the owner, the manager must request the property codes from SES using their own electronic certificate.

The digital certificate is ONLY required to register your property with the Ministry of the Interior and obtain the SES Hospedajes codes. Check-in Scan will never ask for it to register guests or send data. Likewise, it is not necessary to have it on the mobile device where our app is installed.

It’s also essential to have the autofirm@ or cl@ve firma program installed on your computer to digitally sign the establishment registration request.

You can download it here based on your computer type: https://firmaelectronica.gob.es/Home/Descargas.html

NOTE: As these identification tools are provided by the Spanish Government and external to our platform, technical support for obtaining and using them is beyond our scope. If you have questions, we recommend consulting with your legal advisor or management office.

  • Registering Your Property with SES

  • Access SES Hospedajes via the following link.

  • In the section "Access to the registration of establishments and entities," click the @ icon to access your SES Hospedajes profile:

You will be asked for identification, and you can select from the methods provided by the Spanish Government.

If you don’t have any of these identification tools, refer to the previous section ("How to Access SES Hospedajes") for more information.

  • Once inside, click the “Access” button in the "Communication Service" or "Web Service User" box.

In the PROFILE section, you must complete “My entity data” and select the "Web Service communication" option to enable automatic data notifications to SES Hospedajes.

NOTE: If you haven't selected "Web Service communication" when registering the property, the “Communication Service” box won’t appear.

Next, you’ll need to fill out the registration form with the property information.

Once the registration is complete, the SES Hospedajes platform will send you an email with your new property credentials (Web Service User, Web Service Password, Establishment Code, and Landlord Code). The email will have the following structure, containing the four key pieces of information needed to connect your property from Check-in Scan with SES Hospedajes:

  • How to Find Your SES Credentials After Registration

  • Look for an email from no-reply_hospedajes@ses.mir.es with the subject “Registration Notification” where you’ll find all the necessary data (Web Service User, Web Service Password, Landlord Code, Establishment Code) to connect your property with SES Hospedajes through our platform.

  • If you haven’t received this email, be sure to check your spam or junk mail folder. If it's still not there, we can help:

  • Web Service User: If you don’t know your Web Service User, go to the "Web Service User" section, and you'll see your Web Service User (all Web Service Users end in WS).

  • Web Service Password: You can change the Web Service Password by clicking the "Change Password" button within SES Hospedajes and setting your desired password.

Clicking on the @ icon in the "Access to the registration of establishments and entities" section (as shown in the image above) and navigating to your profile, in the "My registration data" section, the code will appear in the "Code" field. As shown in the following image:

  • Establishment Code: You can find it on the SES Hospedajes page, in the section "Access to the consultation and submission of communications for lodging or vehicle rental activities" by clicking on the @ icon, as shown in the following image.

On the next screen, click "New communication" on the "Fill out form" button.

On this screen, you need to select the name of the property in "Select an establishment" and in "Select a type of communication," choose "Travelers report." After this, click the "Continue" button at the bottom.

The "New communication" screen will now appear, and in the establishment information section, you will be able to copy your "Establishment Code."

2. Connecting Your Property to SES Hospedajes from Check-in Scan

If you already have QR codes printed for your properties or use a generic link for your reservations, there is no need to generate a new QR code or link. They will continue to work even after switching to SES Hospedajes.

Once your property is registered with SES Hospedajes and you have your new credentials, log into your Check-in Scan control panel: https://app.checkinscan.com/client/login.

  • In the control panel, select “Properties.” Previously, your properties were connected to the National Police, Civil Guard, and, in properties located in Catalonia and the Basque Country, to the Mossos d'Esquadra or Ertzaintza, respectively.

  • To now connect your property with SES Hospedajes, you don’t need to register the property again on our platform, just click Edit.

  • In the Police section, select the SES option from the dropdown menu.

We recommend copying and pasting from the SES email or the Web Service user profile to avoid errors.

3. Adding Your Property to SES Hospedajes from Check-in Scan

If your property is already added to our platform, simply connect it as explained in section 2 (Connecting Your Property to SES Hospedajes from Check-in Scan). However, if you haven’t added a property to Check-in Scan and need to add it and connect it to SES, follow these steps:

  • In the control panel, select “Properties” and then “Add Property.”

  • You will move to the next window where you need to select your property type:

  • Continue until you reach the property information screen and fill in your property details and click the orange “Save and Continue” button.

  • Now it's time to connect the property to SES by selecting the police body and choosing SES.

  • Enter your property credentials in the following fields. If you need support getting these details, refer to section 1 (How to Register a Tourist Establishment with the Ministry of the Interior Using SES Hospedajes):

  • Web Service User

  • Web Service Password

  • Establishment Code

  • Landlord Code

  • Click the green “Add/Update Property” button. Finally, select the orange “Finish Property” button.

  • You’ll see the following screen confirming that your property is correctly connected to the Ministry of the Interior (SES Hospedajes).

4. Why Is My Property Disconnected from SES Hospedajes?

If, after entering your SES credentials, your property appears disconnected, we recommend the following:

  • Ensure that your Web Service User ends in WS.

  • Verify that your Establishment Code and Landlord Code match exactly, including any zeros, as provided by SES (e.g., 0000012345).

  • Make sure your password is correct. SES Hospedajes often provides passwords with special characters. If you prefer, you can change it following these steps:

  1. Access SES Hospedajes via the following link.

  2. Log into your account using your digital certificate or the Cl@ve identification method by clicking here:

  1. Once inside, click the “Access” button in the "Communication Service" or "Web Service User" box.

  1. Click “Change Password.”

  2. A pop-up will appear to set the new password:

Once the change is complete, you’ll receive an email and be able to update the password from your Check-in Scan control panel.

NOTE: We recommend also verifying that the rest of the details (Web Service User, Web Service Password, Establishment Code, Landlord Code) are correct.
