How to integrate PMS Cloudbeds with Check-in Scan

Integrating the Cloudbeds and Check-in Scan systems allows you to import valuable guest information into the system to avoid manual data entry.

With this integration, you can import your properties and rooms from Cloudbeds, reservations, guest names, email addresses, and phone numbers.

Go to the Check-in Scan panel.


2) In the upper right corner, navigate to My Account / Integrate PMS.

3) Click on the Cloudbeds icon.

4) A notice will appear to redirect you to the Cloudbeds login

5) Once logged in, the synchronization will begin.

You will be redirected to the Check-in Scan website panel again. Please wait patiently, the redirection may take several minutes, the accounts will be synchronized.

The system will give you the option to choose which properties you want to import from Cloudbeds. If you have previously added them to Check-in Scan, you can also match them so they are connected to each other.

Once you have linked the properties, you just have to click on "Save and continue" and wait for the properties to be added.

Now you just have to click on "Finish" to end up with the process.

To conclude, you'll need to go back to the top menu under Properties - My Properties, activate the new properties, and edit any fields that remain to be completed.

On the other hand, if you need to connect Cloudbeds to Check-in Scan, follow these steps:

How to connect Check-in Scan from Cloudbeds

  1. Log in to your Cloudbeds account and go to the left-hand side menu. Click on “Apps & marketplace”.

2. In the Cloudbeds Marketplace, search for the “Check-in Scan” app using the search bar.

3. Open the app’s details page and click on “Connect” to start the integration.

4. A pop-up window will open where Cloudbeds will show you the permissions that Check-in Scan requires (read and write access to guest data, bookings, rooms and custom fields), as shown in the attached image.

5. Review the permissions and click “Allow access”. Once this step is complete, the accounts will be connected and two-way synchronisation will be enabled.

Disconnecting the Cloudbeds integration from Check-in Scan

To disconnect the Cloudbeds integration from within your Check-in Scan account:

  • Log in to your Check-in Scan web panel at app.checkinscan.com

  • In the top-right corner, go to My Account > Integrate PMS

  • Locate the Cloudbeds integration and click the Disconnect button

  • Confirm the action when prompted

Once disconnected, the sync between Check-in Scan and Cloudbeds will stop immediately. Your existing property and guest data in Check-in Scan will not be deleted, but no new reservations or guest information will be imported from Cloudbeds.
